Reporting to the Controller, the Client Billing Manager is a leader within the Accounting & Finance and also must work collaboratively with our clients, account teams and other leaders within the organization. The person must focus on ensuring timely and accurate client billings and minimizing the time from service to collection. This role is responsible for managing client communication surrounding our billings. We work with many of the largest brands in the U.S. and this role is client facing, thus this person must have a level of executive presence in their communication style and a customer service orientation.

You have big-picture vision and the motivation to make that vision a reality; you balance strategic thinking with outstanding execution. You will be a primary financial contact with our clients. This position requires a strong financial background, excellent communication and problem solving skills, people management capabilities and a desire to work in an ever changing environment. Knowledge of Oracle is essential and required.

Essential responsibilities:
• Ensure timely, easily understood, and accurate invoicing of clients, issued in an effective manner for both parties and in accordance with ours and their policies
 Identify, document and ensure compliance with client billing requirements, including formats, dates, purchase orders and other support required
 Responsible for fee set up in billing system, invoice (including our fees and advance funding) generation and review, obtaining required approvals, submitting invoices to clients in accordance with their requirements, and collections if not paid promptly
 Maintain and update customer records, contracts, contacts, and purchase orders in billing system
 Prepare and send timely advance funding invoices and perform the monthly reconciliation of client advance funding balances by offer from the billing system to the general ledger
 Apply manual billing charges to client accounts including retainers, phone and IVR, dedicated customer care agents, monthly or retained Digital Services charges, administrative and clerical fees
 Prepare end of offer review reporting and distribute to SVP Finance and Accounting, FP&A Director, Chief Revenue Officer and account team. This reporting compares actual amounts invoices against the client agreement
• Monitor accounts receivable aging and ensure client receivables are being paid in accordance with terms, reaching out to collect via appropriate methods to collect outstanding balances, while working with and keeping account team apprised of activity and record notes and any follow-ups in our CRM system
• Prepare or generate client billing reports as requested or required, and handle return of funds and escheat matters
• Read and understand client contracts including statements of work and services agreements and ensure all billable services are billed to clients in accordance with the agreements, and if unclear on expectations inquire and resolve with the account team
• Develop and maintain a billing policy that our clients will be held to, the policy must address key terms and expectations we have for our clients, including when and how we’ll bill, payment forms accepted, payment terms, how we handle immaterial amounts, uncollectible amounts, and supporting documentation for invoices
• Develop and report key metrics associated with billing activity, including tracking number of invoices, days sales outstanding, turnover and others as designed to measure performance
• Perform credit analysis on prospective clients by obtaining financial statements and or credit agency reports, and recommend to Controller and SVP Finance and Accounting for approval the appropriate level of credit exposure and acceptable payment terms
• Research billing and invoicing issues and provide expertise on internal billing related questions
• Develop knowledge of the billing system and its capabilities and processes to leverage when generating invoices to send to clients. Continuously seek to improve work processes and offer suggestions to drive efficiency
• Ensure client requests are completed, including W-9s and portal registrations
• Build relationships cross-functionally to foster collaboration with business partners and ensure positive client relations occur as a result of interactions with the Billing & Collections team
• Developing and managing a staff of non-exempt team members

• With the SVP Finance and Accounting and Controller, continue to implement a Oracle billing system

• 10 or more years of direct experience in billing and invoicing required
• Oracle Billing experience is REQUIRED
• BS/BA in Business or Accounting preferred
• Experience in a services or technology business model preferred
• Experience with financial and sales management systems preferred
• Management of a team
